On-tour responsibilities
Before leaving on your tour, it’s important to know what’s expected of you as group leader and what you can expect from your tour director while abroad.
EF Group Leaders
Group leaders are responsible for the conduct of travelers.
Set expectations for good behavior
As group leader, it is your responsibility to maintain appropriate student conduct while on tour. Before departure, set clear expectations for your students’ behavior (curfew, rules regarding drinking, etc.). It is your responsibility to take disciplinary action should there be any infractions of these rules.
Stay with the group at all times
You must accompany your group at all times, including meals, sightseeing excursions, optionals, etc., on your tour.
Stay behind in an emergency
In the case of illness, accident, lost passport, etc., it may be necessary for you to stay behind with one of your travelers. You must ensure that the rest of the group is accompanied by a responsible adult.
Meet with other group leaders
On your arrival day, meet with the other group leaders on your tour to discuss your objectives for the trip, as well as rules and regulations. Discuss plans and address any questions or concerns daily. This will promote cohesion within the larger group.
Assist with room assignments
Your tour director may need your help upon arrival at each hotel, as rooming configurations may change from one hotel to the next.
EF Tour Directors
Tour directors are responsible for all the logistics of your tour.
Coordinate all aspects of the tour
Your tour director will coordinate the details of your bus transportation, accommodations, meals and special excursions.
Provide local knowledge
Your tour director shows you the highlights of your destination and shares knowledge of local culture. Tour directors can also recommend affordable lunch options and free-time activities. Licensed local guides will provide your group with in-depth sightseeing tours in most cities.
Serve as contact person for the tour group
Your tour director will be available to you as much as possible throughout your tour. Your tour director is someone you can trust and rely on as you lead your group. Please be aware that in order for the tour to run smoothly, the tour director’s responsibilities require him/her to take time away from the group each day to re-confirm tour arrangements.
Handle any on-tour emergencies
EF Tour Directors are fully trained to handle challenging situations and emergencies that might arise on tour. Each tour director carries a mobile phone and can contact local EF offices worldwide.
Your tour director will contact you directly via email a few days prior to your departure. This is the perfect opportunity to ask any final questions you might have about your trip!
