Travel documentation
Travelers will need to obtain their own passports and visas. Non-U.S. citizens must check their requirements and obtain any necessary travel documents. Travelers are responsible for meeting the requirements of each country on your itinerary as well as countries they will travel through (including airports through which you will only transfer).
Passports
All travelers require a passport valid for at least six months after the end of the tour. You can apply at the post office or at travel.state.gov.
On your Group Status Report, check that we have spelled the first and last names of each traveler as they appear (or will appear) on their passports. Name changes may be impossible, and even if possible, will incur charges of at least $100 and up to the fee of the new published fare ticket. If a participant tries to use a ticket with an incorrect name, he or she will not be allowed to board the plane.
Request a photocopy of each participant’s passport to verify that each has been signed by its owner. Due to new regulations, passports can take up to 14 weeks to process. Always check with the State Department for current processing time. (Please note: Mexico now requires a passport.)
Non-U.S. citizens
Participants who are not U.S. citizens should contact the consulates of the countries they will be visiting (or transferring through) about any visa requirements. Visit embassy.org for more detailed information.
Visa requirements
Visas are required for some tour destinations including Australia, Brazil, China, Egypt, India, Kenya, Russia, Tanzania and Vietnam (refer to travel.state.gov for a full list). All participants must submit their own applications and obtain their own visas, both for countries they are visiting and those they are passing through. (Exception: Russian visas need to be processed as a group. You are responsible for processing your group’s visas through Zierer Visa Service. Ask your tour consultant for more information.)
Parental authorization forms
For tours going to Mexico, Brazil or Costa Rica, children under the age of 18 require a parental authorization form to be signed and notarized within 30 days of the tour departure date. Forms will be sent to travelers prior to departure (and can also be found in My Tours under "Forms and resources"). Please ensure that your travelers bring these forms on tour as they required to get through customs in these countries.
